Before entering a project in any management system, a series of data must be provided, as outlined below.

I

n this short article we provide a useful resource for project managers working in the language services sector. This checklist should be used by all project managers before starting any new translation project. It is intended as a practical reminder of all the information that may be needed during the project implementation. It was compiled based on our professional experience as well as on the recommendations from other translation project managers, in compliance with the EN 15038 quality standard guidelines.

The checklist below is complemented by a few comments. The ready-to-use checklist can be downloaded as a PDF file by clicking on the link at the bottom of the article.

Administrative Data

  • project name and description
  • unique project identifier: this is usually an internal reference number - automatically assigned by the translation management system
  • client's name
  • contact person
  • client reference number - this is the number that often appears on estimates and invoices.
  • confidentiality agreement - this indicates whether the client requested a NDA
  • commercial terms - tariffs applying to a specific client
  • reception date of the source text
  • reception date of complementary material
  • project size
  • date and time of delivery
  • delivery address, if different from contact address - mistakes often occur as a consequence of this missing information. The translation must often be delivered to an address that is different from that of the person issuing the request.
  • confirmation date
  • reference to existing contracts or special conditions applying to the client
  • any other information with a significant impact on the project

Technical Data

  • source language
  • destination language(s), including local adaptations
  • original format
  • required delivery format
  • proposed delivery format - in case an alternative delivery format was suggested to the client.
  • text or project function and use
  • quality level
  • existing terminology reference (glossaries)
  • reference and reading material
  • client style guidelines
  • handling of pictures, images and graphics
  • need for text formatting
